Swap a Bag - Edit a Sale

Swap a Bag lets unit leaders correct product quantities on eligible cash sales to fix inventory mistakes, without refunding and recreating the sale.

When You Can Use It

You can use Swap a Bag when:

  • The sale is a cash sale

  • The sale is an Individual or Storefront sale

  • The sale has not been refunded

  • Even if cash to credit has been done on the cash sale


How It Works

Swap a Bag allows you to move quantity from one product to another on the same sale.

For example, if a sale was recorded as 3 bags of Product A but should have been 2 bags of Product A and 1 bag of Product B, you can adjust the quantities instead of creating a new sale.

Rules to know:

  • The total quantity on the sale must stay the same

  • You must decrease one product before increasing another

  • You can move quantity to a product that was not originally listed on the sale

  • Products reduced to 0 quantity remain on the sale record for traceability


A Note About Pricing

If you swap between products with different prices, the order total may change.

When that happens, the system automatically creates a cash adjustment so your recorded cash stays accurate.

For example:

  • Swapping a $25 item for a $20 item creates a +$5 cash adjustment

  • Swapping a $20 item for a $25 item creates a -$5 cash adjustment

Note: Heroes and Helpers® items cannot be adjusted using Swap a Bag. Those quantities stay locked.


How to Update a Sale

  1. Open the sale details

  2. Select Edit Sale under the three-dot menu or by selecting the pencil icon

  3. Adjust product quantities

  4. Keep the total quantity the same

  5. Select Save Changes
