Managing Storefront Shifts

This article covers how to edit shifts on a storefront reservation, including shift times, registration dates, and the number of Scouts assigned per shift. It also explains Gaps and Uncovered notifications.

Note: When a reservation is created, the below settings are generated using your default storefront settings. These instructions are how to change them after the reservation has been created. See: Storefront Setup/Defaults for Leaders


How Do I Edit Shift Times?

Rules for Trail’s End® Booked Storefronts

All shifts created must be within the total reservation time.

Example: If your reservation is 10:00 AM – 6:00 PM, all shifts must fall within that timeframe.

Steps to Modify Shifts

  1. Go to Storefronts from the main navigation menu.

  2. Scroll through the calendar, click on the date, then the reservation.

  3. Select the edit pencil next to the shift.

  4. Click on the time to edit.


How Do I Edit a Shift's Registration Open Date?

The registration date determines when Scouts can begin signing up for the shifts.

Steps to Edit Registration Date

  1. Go to Storefronts from the main navigation menu.

  2. Click on the storefront in your list.

  3. On the Details page, click the Edit Reservation button

  4. Update the date and save your changes.

⚠️ Important Tip: Changing it after Scouts have already signed up will not remove them, but will affect new sign-ups if the date is moved later. ⚠️ If Scouts are signing up before the intended open date, the cause is likely an incorrect date set in the storefront defaults during reservation creation. Update the registration open date for each affected reservation following the steps above.


How Do I Change the Number of Scouts per Shift?

Steps to Edit Scouts per Shift

  1. Go to Storefronts from the main navigation menu.

  2. Scroll through the calendar, click on the date, then the reservation.

  3. On the Shifts page, click the Edit Shifts button

  4. Select Add Slot to add another slot or Click the X on an open slot to remove it.

  5. Save Changes

⚠️ Important Tip: If you lower the number below the count of Scouts already signed up for that shift, existing sign-ups are not automatically removed. You may need to manually remove Scouts to bring the shift in line with the new limit.


Understanding Shift Status: Gaps and Uncovered Slots

When viewing your shifts list, Trail's End flags slots that may require attention so you can quickly see where coverage is missing.

Open Slot
A shift slot that has no Scout assigned to it. Open slots appear with a dashed outline and the label "Open."

Gap
A Gap is a shift where every slot is open (no Scout assigned), and it falls between two other shifts that do have at least one Scout assigned. In other words, it's an unclaimed shift sandwiched between covered shifts, creating a hole in your storefront's coverage during otherwise staffed hours.

Uncovered
Uncovered means every slot in a shift is open, but it isn't sandwiched between covered shifts; for example, it's at the start or end of the reservation, or it's followed by additional open shifts. It still needs Scouts, but it isn't creating a break in an otherwise-staffed schedule.

At the top of the shifts list, you'll see a summary count of how many shifts are uncovered and how many gaps exist, so you can address them at a glance.

Steps to Resolve Gaps and Uncovered Shifts

  1. Go to Storefronts from the main navigation menu.

  2. Scroll through the calendar, click on the date, then the reservation.

  3. On the Shifts page, review any shifts flagged with a Gap or Uncovered label.

  4. Reach out to your unit to recruit coverage for that time.

  5. Scouts can sign up in the app or the leader can click on the Open Slot to assign a Scout.

  6. Save your changes once Scouts are assigned.
