How to create a unit-booked storefront in the Leader Portal, set up shifts, copy storefronts across dates, and troubleshoot the "requested timeslot overlaps with a controlled timeslot" error.

What Unit Leaders Need to Know

Leaders can create their own storefronts in the Trail’s End® system when a store is not booked through Trail’s End® or when your unit has arranged its own selling location. Other units will not be able to see storefronts you create for your own unit. They are only available for your own Scouts to sign up for.


  1. Select Create My Own from the top right of the Storefronts page.

  2. Under Event Details, enter:

    • Sale Date — The date the storefront selling will take place.

    • Registration Begin Date and Time — The date and time your youth can begin signing up for shifts. This is typically set weeks before the sale date to give families time to sign up.

    • Timezone — Select the timezone for your storefront location.

  3. Under New Storefront Details, enter:

    • Site Name — A name for the storefront location (e.g., "Kroger on Main St").

    • Address — When you begin typing the address, a list of verified Google addresses will appear. City, State, and Postal Code will auto-fill once an address is selected.

    • Suite/Apt — Optional; use if the location requires a specific entrance or suite number.

  4. Under Contact Information, List who parents should contact if issues arise (unit leader or store manager).

  5. Under Notes, include setup instructions, store rules, or location details.

  6. Select Create when finished.

  7. Click Add Shift to add your first shift and repeat for each additional shift.

Note: To update your default shift settings, go to Settings in the main navigation menu and select Storefronts.

Tip: Entering the correct address is essential. The address drives scheduling conflicts and system validations.


Error: “The event overlaps another reservation existing on [date]”

What This Error Means

This message means the storefront location already exists in the Trail’s End system for the same date. The location may have been:

  • Booked by Trail’s End®, or

  • Created by another unit

Important: You will receive this error even if your requested time does NOT overlap with the other storefront on that date.

Why This Happens

  • The system uses the store’s address to prevent multiple units from showing up at the same location.

  • This design ensures only one unit is scheduled at a storefront at a time.

What To Do

  • Double-check that the address is entered correctly.

  • If you need help scheduling non-overlapping times within the same day, contact Trail’s End Support at [email protected].


How do I Copy / Duplicate a Storefront that I entered?

This feature has not been developed in the new portal. It has been requested for a future release, but there is no timeline on this.


Tips for Arranging Your Own Unit Storefronts

Check Existing Reservations First

  1. Go to Storefronts from the main navigation menu

  2. Go to Create My Own.

  3. Click the link View Trail's End Storefront Reference List to see stores already contacted or booked.

This helps avoid conflicts and duplicate requests.


Best Practices When Requesting Storefronts

Leaders have found the following approach most effective:

  • Visit the store in person.

  • Bring a Scout in uniform.

  • Visit during off-peak hours.

These steps often increase the likelihood of approval.
