This guide explains how to create a storefront, avoid common errors, and follow best practices.

What Unit Leaders Need to Know

Leaders can create their own storefronts in the Trail’s End system when a store is not booked through Trail’s End or when your unit has arranged its own selling location.


How to Enter Your Own Storefront

You can create a storefront from Manage Storefronts™ or Reserve Storefronts™.

Step 1: Create a New Storefront

  1. Go to Manage Storefronts™ or Reserve Storefronts™.

  2. Click Create New Storefront.

  3. Fill in all required fields.

Step 2: Enter Event Details

  • Sale Date: The date your storefront will occur.

  • Registration Begin Date & Time: When Scouts will be allowed to sign up for shifts.

  • Time Zone: Defaults to your local time zone.

Step 3: Enter Storefront Name

  • Organization Name: If your store is not listed, select Other (found alphabetically in the “O” section).

  • Location Name: The name of the store.

Step 4: Enter Storefront Location

When you begin typing the address, a list of verified Google addresses will appear.

  • Select the correct address from the list.

  • The system will automatically fill in the city, state, and ZIP code.

Tip: Entering the correct address is essential. The address drives scheduling conflicts and system validations.

Step 5: Enter Storefront Details

  • Contact Name / Email / Phone: List who parents should contact if issues arise (unit leader or store manager).

  • Instructions / Notes: Include setup instructions, store rules, or location details.

Click Save to continue.

Step 6: Create Shifts

  1. Click + Add a Shift.

  2. Enter:

    • Start time

    • End time

    • Maximum number of Scouts

  3. Click Save.

Repeat until your full schedule is created.

Step 7: Copy Shifts (Optional)

If your unit is selling at the same location on multiple days, you can use the Copy feature to duplicate storefront details.

⚠️ Important: Only use the Copy feature for the SAME address.


Troubleshooting Storefront Entry

My Store Isn’t in the Organization List

If your store does not appear in the Organization drop-down:

  • Select Other in the Organization field, located in the O's alphabetically.

Error: “The Requested Timeslot Overlaps With a Controlled Timeslot”

What This Error Means

This message means the storefront location already exists in the Trail’s End system for the same date. The location may have been:

  • Booked by Trail’s End, or

  • Created by another unit

Important: You will receive this error even if your requested time does NOT overlap with the other storefront on that date.

Why This Happens

  • The system uses the store’s address to prevent multiple units from showing up at the same location.

  • This design ensures only one unit is scheduled at a storefront at a time.

What To Do

  • Double-check that the address is entered correctly.

  • If you need help scheduling non-overlapping times within the same day, contact Trail’s End Support at [email protected].


Tips for Arranging Your Own Unit Storefronts

Check Existing Reservations First

If you are in a Council where Trail’s End arranges storefronts:

  1. Go to Storefront Reservations.

  2. Check the Reserved filter to see stores already contacted or booked.

This helps avoid conflicts and duplicate requests.


Best Practices When Requesting Storefronts

Leaders have found the following approach most effective:

  • Visit the store in person.

  • Bring a Scout in uniform.

  • Visit during off-peak hours.

These steps often increase the likelihood of approval.
