How to manually release a Trail's End® storefront reservation, what happens to inventory and cash when released, and how the automatic Tuesday 8:00 PM ET release works when no Scouts are signed up for upcoming weekend shifts.

How Do I Release an entire Trail’s End® Reserved Storefront?

You can release an entire storefront reservation from the Leader Portal any time after it is reserved unless it is in the past. Also, there can be no Scouts assigned to any shift on the reservation.

There are several ways that you can get to the Release Reservation option:

Steps to Release - Option 1

  1. Go to Storefronts from the main navigation menu.

  2. Make sure you are in the Week View (not All Unit Reservations)

  3. Locate the date of the storefront and click on it.

  4. Click Release in the lower right corner of the reservation.

Steps to Release - Option 2

  1. Go to Storefronts from the main navigation menu.

  2. Go to the All Unit Reservations View

  3. Under the Actions three dot menu, select Release Reservation

Steps to Release - Option 3

  1. Go to Storefronts from the main navigation menu.

  2. Click on the store reservation

  3. Select Release Reservation in the upper right

⚠️ Important: Once released, the storefront becomes available to other units and cannot be recovered unless you reserve it again.

⚠️ Note: You cannot release a storefront after the start time listed on the reservation.

Auto-Release of Trail’s End® Reservations

The auto-release feature ensures storefront locations are actively used and available to units that need them.

This feature:

  • Reduces unused reservations.

  • Saves leaders' time.

  • Creates predictable opportunities for units to claim additional storefronts.


How It Works

Step 1: Units Reserve Storefronts

Unit leaders reserve storefront locations as usual through the Leader Portal.

Step 2: Scouts Sign Up for Shifts

After a storefront is reserved:

  • Scouts can sign up for shifts based on the storefront settings created by the leader.

Step 3: Scout Notifications

  • Scouts will receive email reminders about upcoming shifts, encouraging them to sign up.

Step 4: Leader Notifications

If no Scouts are signed up for any shift on the reservation:

  • Leaders will receive a notification when a reservation has no Scouts signed up for an upcoming weekend.

  • On the Storefronts page, reservations will be flagged as:

    • "Auto-Releasing soon" when shifts have no Scouts signed up

Step 5: If no Scouts sign up for ANY shift on the reservation, it will be released.

Reservations scheduled for the upcoming weekend - Friday, Saturday, or Sunday are automatically released if no Scouts have signed up for any shift by 8:00 PM ET on the preceding Tuesday.

Leaders of units where storefronts were automatically released will receive a notification of any released reservations.

The system will NOT split and release shifts within the reservation. Auto-release applies only to the full reservation.

Step 6: The reservation becomes available for other units to reserve.

Auto-released reservations become immediately available for other unit leaders to reserve, as usual. If you are looking for additional opportunities, be sure to check at 8pm ET each Tuesday.

Auto Release only happens once per week at 8pm ET on Tuesday for the upcoming Friday, Saturday, and Sunday. Therefore, when a unit reserves as store after this time, it will not be releases automatically regardless of whether Scouts are signed up. We ask leaders to please release stores that you do not plan to use manually. This also means that once a unit reserves a store after 8pm ET, there is no set deadline to get Scouts signed up for it since it will no longer be subject to auro-release.


What Happens to Inventory and Cash?

If a reservation is auto-released:

  • Assigned inventory is returned to the unit.

  • Starting cash assigned to the reservation is removed.


When to Check for Newly Available Storefronts

Units looking for additional storefront opportunities should check:

This is when auto-released reservations become available.
