This article covers two common administrative tasks that unit leaders may need to perform when managing Scout Sales (also known as Wagon Sales):
Tracking and correcting cash turned in by Scouts
Converting sales between Scout Sales and Storefront Sales when needed
These actions are completed in the Trail’s End Portal and can be done by unit leaders only.
Managing Cash Due From a Scout
When Scouts record cash Scout Sales, the system tracks the amount of cash they owe to the unit. This amount appears on your dashboard in the Cash Owed column.
Scouts can settle their cash owed by:
Turning in cash directly to the leader, or
Using Cash to Credit - See Cash to Credit: Quick Guide for Parents & Scouts
As a leader, you are responsible for recording when cash is turned in and ensuring it is deposited into the unit’s bank account.
How to Record Cash Turned in by a Scout
Log in to the Trail’s End Portal.
Find the Scout on your Leader Dashboard.
Click the black arrow to the right of the Scout’s name.
Select Manage Cash.
Click the pencil icon next to Cash Due from Scout.
Enter the amount of cash the Scout turned in and click Submit.
Deposit the collected cash into your unit’s bank account.
This will reduce the Scout’s cash owed balance accordingly.
Correcting a Cash Entry Mistake
The system does not allow cash entries to be deleted. If an incorrect amount is entered, you can correct it using one of the following methods.
Option 1: Enter a Negative Amount
If too much cash was recorded as collected, enter a negative number in the Cash Due from Scout field.
Example: If you entered $35 but the Scout only turned in $30, enter -5 to correct the balance.
Option 2: Use Cash Adjustments
You can also correct errors using the Cash Adjustments field.
A positive cash adjustment is subtracted from the total collected or added back to the Cash Due from Scout.
A negative cash adjustment is subtracted from the Cash Due from Scout.
Use whichever method is clearest for you.
Converting Scout Sales and Storefront Sales
Occasionally, a sale may be recorded under the wrong sale type. Leaders can convert sales between Scout Sales (Wagon Sales) and Storefront Sales, as long as the Scout was properly signed up for the storefront shift.
Converting a Scout Sale to a Storefront Sale
Confirm the Scout is signed up for the storefront shift that you are moving the sale to.
On your Leader Dashboard, find the Scout and click the black arrow on the right of their name.
Select View Orders.
Locate the order you need to convert.
Tip: Clicking column headers like Sale Type or Date can help sort the list.Click on the order.
Select Convert to Storefront Order.
Choose the correct storefront shift and click Confirm.
Tip: Only storefront shifts that the Scout is signed up for on the same date will appear in the list.
Converting a Storefront Sale to a Scout Sale (Wagon Sale)
In the Leader Portal, go to Manage Storefronts from the menu.
Find the storefront where the sale was recorded.
Click the down arrow beneath the store.
Select View Orders.
Click on the order that needs to be converted.
Select Convert to Wagon Order and click Confirm.
